We are seeking a Finance Assistant to join our team, reporting in to our part-time CFO. The Finance team works closely alongside our Central team which incorporates central business functions like HR, Marketing and administration.
Key responsibilities
The Finance Assistant has responsibility for accurate financial record keeping and accurate accounting. As the Finance Assistant, you will be responsible for entering all financial information into our accounting software; delivering end-to-end finance operations, and this role would suit a candidate with experience in a similar role with the ambition to learn and progress in their career.
Finance Assistant Responsibilities
- Process sales invoices and reconcile sales ledgers. Communicate and liaise in a timely and effective manager with client services and customers as required.
- Entering and processing purchase invoices in the accounting system, reconciliation of payment to invoices – managing authorisation for payments and processing payment runs, and communicating with suppliers regarding invoice dispute and remittance advice
- Set up payments for bank accounts and credit cards, and processing of Direct Debits, completing a full and accurate reconciliation in the accounting system
- Work with the HR department to confirm payroll and submit changes to payroll bureau, ensure accurate monthly payroll, PAYE and pension, as well as processing employee expenses
- Work closely with members of the Client Services team to ensure sales revenue recognition for the past month is accurate, and reflected in the company’s accounting records
Working with support from the CFO to:
- Set up reports and documents for the following month in a timely manner
- Provide context and assistance to their Board reporting, and support as required in actions which facilitate the delivery of the Financial Strategy
- Send over complete books and record for year end accounting preparation, including reconciliations, journals and full trial balance
- Reporting of statutory or required information to HMRC, including VAT, PAYE Settlement Arrangement, p11Ds etc.
- Undertake accurate data entry and timely updating of cash flow forecasting reports
- Accurately update financial information from accounting software into monthly management and financial reports, following month-end procedures (journals, reconciliations)
Specific skills and experience
- Qualified to AAT Level 3 is desirable but not essential, alongside appropriate CPD
- Previous experience at a Finance Assistant level
- Demonstrate high proficiency of accounting software (we use Xero, but others are good too), and good use of Excel and the rest of the MS Office Suite
- Highly motivated and driven – able to work both autonomously and with members of the wider teams
- A problem solving and positive approach to work
- Excellent communication skills, both verbally and written – ability to maintain relationships with Central team members including HR, Recruitment, Marketing, as well as Client Leads and the Board
- Strong organisational skills
- Deadline focused and able to manage multiple tasks and prioritise appropriately
